We are looking for a Logistics & Customer Service Coordinator to join our commercial team. This is a central role where you will own the full order flow — from the moment a customer places an order to the moment it is invoiced and delivered.
As Logistics & Customer Service Coordinator, you will manage and continuously improve our customer service and logistics operations. You will be the primary point of contact for order handling, work closely with our sales team, and ensure that products are shipped and invoiced smoothly and accurately.
You will also play an active role in how we develop our processes and tools going forward — including the rollout of our CRM system, HubSpot. You report to the Head of Commercial Strategy & Operations and collaborate cross-functionally with teams across the company.
Own the complete order process: receive, handle, and ship orders, and manage invoicing
Maintain and improve service levels across response times, delivery accuracy, and order quality
Build and maintain strong day-to-day relationships with customers and suppliers
Resolve order-related issues and coordinate problem solving across teams
Monitor inventory and stock levels, flagging potential shortages proactively
Support Accounting with order follow-up and reconciliation
Help keep department SOPs and work instructions current and accurate
Collaborate in the implementation of CRM HubSpot at BioLamina
Actively contribute to the continuous improvement of customer service processes and tools
Perform work in compliance with BioLamina’s Quality Management System (QMS)
Experience in logistics, warehouse operations, or customer service
Comfortable working in English — our company language used in daily communication, emails, and documentation
High school diploma or equivalent — further education is welcome but not required
Comfortable working with digital tools and systems
Experience with order management systems or CRM tools
Background in a life science, pharma, or quality-regulated environment
You are thorough and methodical by nature — you notice when something doesn’t add up and you follow it through. You have a sharp eye for detail and a strong sense of judgment: you can quickly assess whether something looks right or whether it needs a second look.
You pick up new systems and ways of working quickly, and once you understand how something works, you can run with it independently. You are self-driven, well-organized, and take ownership of your responsibilities without needing to be micromanaged.
You enjoy being part of a team and communicating clearly across functions — whether it’s a quick update to a colleague or a response to a customer. You stay calm under pressure and find satisfaction in solving practical problems.
