Job Role
We are looking for an Office and Commercial Support Coordinator to be based in the Stockholm office who will support business operations by providing structured operational and commercial coordination to support internal teams and external partners.
The successful candidate will be an enthusiastic individual who displays their own initiative with a high level of attention to detail and who wants to work as part of a dynamic team. Discretion and Confidentiality will be of utmost importance for the successful candidate.
Responsibilities
- Act as an initial assessment for inbound external enquiries, such as email and phone calls, ensuring timely routing in line with internal protocols
- Coordinate day-to-day office operations activities to ensure company requirements are met
- Maintain secure handling of confidential customer data, reports and commercial documentation
- Operate in accordance with all internal systems, procedures and compliance requirements
- Act as a on-site liaison for visiting colleagues and customers, supporting a professional office presence
- Manage customer contact received through central sales channels, ensuring clarity and timely follow up
- Maintain accurate and current customer and opportunity records within CRM platforms
- Engage with vendor and partner portals to support opportunity visibility and communications
- Respond to internal requests across teams such as finance, operations, resourcing and marketing
- Liaise with resourcing functions to track active workstreams and communicate updates where no PO resource is assigned
- Assist in the resolution of customer billing and invoicing enquiries
Ensure purchase orders, renewals and related commercial records are processed accurately and in a timely manner

What you will bring to us:
You should have experience demonstrating the following qualities:
- A minimum of 1 year of sales experience
- Proficient in MS Office, particularly PowerPoint, Word, Excel
- Excellent interpersonal and communication skills
- Superior organizational and time management skills
- High attention to detail and strong verbal and numerical skills
- Self-confident with positive ‘can do’ attitude
- Self-starter with a desire to succeed
- Ability to work on multiple projects in a fast-paced environment while producing quality work and adhering to deadlines
- The successful candidate should demonstrate a high degree of initiative, confidence and quick learning
Works on own initiative and is continually looking at ways to improves performance
