Business Support Administrator (Permanent) – Mölndal
We are seeking a highly organised and proactive Business Support Administrator to join our onsite team in Mölndal. This is a permanent position offering a varied and dynamic role supporting site operations in partnership with our customer.
In this role, you will provide professional and effective business, administrative, and HR support, ensuring the smooth coordination of daily activities while maintaining compliance with VWR and customer policies.
Key Responsibilities
Communication & Facilitation
Act as the central coordination point for administrative processes, supporting associates and stakeholders across the site
Support Site Management with business projects and ongoing initiatives
Organise and facilitate meetings on behalf of the Onsite Manager and Site Leadership Team (room bookings, agendas, minutes, and action tracking)
Maintain and update internal communication platforms
Coordinate internal communications, announcements, and engagement initiatives
Arrange site tours and manage visitor access for internal and external guests
Promote awareness of company and customer initiatives and policy updates
Administration & HR Support
Coordinate recruitment activities, including seasonal hiring and internship programmes
Manage end-to-end onboarding for new starters, ensuring timely setup of systems, access, and inductions
Maintain accurate employee records and organisational data
Support quarterly staff meetings and Site Management activities
Coordinate offboarding processes in a compliant and structured manner
Manage employee access cards and records
Organise mandatory training (internal and external) to ensure compliance
Coordinate employee surveys and support analysis of results
Support people processes such as performance management cycles, salary reviews, holiday tracking, and development programmes
Plan and coordinate employee wellbeing initiatives (e.g., health checks, vaccinations)
Support employee engagement activities and events with both VWR and the customer
Reporting & Compliance
Assist with preparation of Monthly and Quarterly Business Review reports
Maintain and update organisational charts
Manage TDM data updates for the European board
Track and report training completion and compliance
Monitor deadlines and follow up to ensure compliance requirements are met
Maintain accurate training records and documentation
Support skill matrix tracking and compliance across the site
What We’re Looking For
Strong organisational and multitasking skills
Experience in administrative and/or HR support roles
Excellent communication and stakeholder management abilities
High attention to detail with a structured approach to work
Ability to manage sensitive and confidential information
Proficiency in MS Office and HR systems (e.g., Workday is an advantage)
