This position will be based at Umeå Marine Sciences Centre (UMSC) which is a unit within Umeå University and is located in Norrbyn just 40 km south of Umeå. UMSC’s strategic remit focuses on research, education, environmental monitoring and public engagement. Particularly relevant to this position, UMSC’s area of remit includes the Arctic, sub-Arctic and extreme environments with the former warming at three times the global average. Job description
This is an exciting opportunity to support the operation and development of UMSC as part of our ongoing transformation initiatives. Are you a service-oriented and independent administrator who enjoys various tasks?
Tasks
As a UMSC administrator, you will work with varying administrative tasks. These are varied and involve independent work where you need to be able to handle several different matters at the same time.

Support the leadership team and assist with administrative support in various business processes and tasks including planning events, taking meeting notes and coordinating documents.

Support the UMSC economist with some finance-related administrative tasks.

Work with economy and HR related tasks, such as travel requests and follow-up, ordering, procurement.

Investigate and ensure that UMSC’s administrative processes are functioning properly and that there are guides for various administrative processes.

Manage the unit's annual calendar, archive and diary, including the Microsoft Teams portal.

Keeping UMSC's intranet updated.
-
Support to recruiting managers when introducing new employees (planning and implementation).
This may vary over time and other similar administrative tasks may be included.
Essential competencies
-
At least upper secondary degree or equivalent and several years of experience from similar administrative tasks.

Experience of working in administrative systems and good verbal and written skills in both Swedish and English.

Have a detailed knowledge of the Microsoft computing environment.

Personal qualities desirable for this position are service-oriented, solution-focused, independent, initiative, cooperative, flexible, communicative, good organizational skills and meticulous.
Meriting competencies
-
Experience of administrative work at a government agency and in management and/or various functional groups.

Experience with university systems including Raindance, Office suite, Primula and/or equivalent systems from other businesses.

Technically knowledgeable and have experience working with web tools.
Great importance will be placed on personal suitability.

This is a full-time position for 11 months. Expected start date for position will be August 2026 or according to agreement.
