As Assistant Workplace Lead you will deputize to the Workplace Operations Lead, providing strategic support and operational leadership across campus. This role drives operational excellence, leads improvement projects, and supports governance and reporting activities to ensure high-quality service delivery and customer satisfaction.
Acting as a trusted partner to the Workplace Operations Lead, this role ensures continuity of leadership, drives operational initiatives, and maintains strong relationships with stakeholders and service partners. The Assistant Lead plays a critical role in translating strategic vision into operational execution, supporting the team to deliver consistent, efficient, and customer-focused facilities services across all sites within the geographical scope.
What You’ll Do:
Client relationship and stakeholder engagement
- Build and maintain strong relationships with stakeholders across campus and act a senior point of contact • Represent CBRE interests and teams while aligning with the client’s needs and expectations • Support in client engagement activities and service review meetings with senior stakeholders • Communicate operational updates, changes, and improvements to stakeholders in both English and Swedish • Foster collaborative relationships with service providers and suppliers
Finance, governance and reporting
- Be well-versed in CBRE’s contractual commitments, including financial, commercial and performance models and ensure operational compliance with contractual obligations • Collate, prepare and analyse performance and governance reports to enable client sign off • Collaborate with Workplace operations- lead, managers and Finance teams to prepare accurate forecasts, financial performance reviews and budget drafts • Develop and maintain operational reports, dashboards, and performance metrics to help the team and client to better understand the operational output • Prepare analysis and presentations on operational performance, key performance indicators, customer satisfaction and trends and make recommendations for improvements and service adjustments
Leadership and team support
- Support the Workplace Operations Lead in team leadership and management • Provide guidance, coaching, and support to Workplace Operations Managers • Foster a culture focused on service excellence, proactiveness and continuous improvement • Support performance management activities, succession planning and team development initiatives • Drive the one team and service first mindset across campus alongside the client • Review and sign off on annual leave and other resource planning activities
Operational leadership and site management
- Support the Workplace Operations Lead in overseeing facilities operations and service delivery • Good understanding of CBRE’s contractual commitments, including statement of work, matrix of responsibility and service level agreements in order to translate these into effective deliverables for the teams in collaboration with the Workplace operations lead • Act as deputy to the Workplace Operations Lead, providing leadership continuity in their absence • Monitor service delivery performance and identify areas requiring attention or improvement and coordinate with Workplace operations managers to resolve challenges and implement improvements • Working closely with QHSE- and operational teams to ensure sites are fully compliant with the client’s and CBRE’s QHSE standards • Ensure health and safety policies and observations are logged to minimize risk exposure and enable a safe workplace environment • Review and sign off all campus applicable risk assessments together with the Workplace Operations Manager
Improvement projects and strategic initiatives
- Lead and manage improvement projects to enhance operational efficiency and service quality • Identify opportunities for process improvements and implement solutions • Drive continuous improvement initiatives across campus operations • Be an active participant in our vendor care program, working closely with strategically important service partners across the contract • Support implementation of transformational change programs, including the Evolve program • Analyse operational data and trends to inform strategic decision-making • Program manage key projects, acting as a conduit between the client and CBRE’s operational and project teams
Working hours and location
This position is based at the client’s premises in Kista, Stockholm. This role requires onsite presence Monday to Friday, 08:00 to 17:00, depending on business needs. Occasional travel to other locations may be required.
