Position Overview
The People Associate supports the delivery and execution of People & Development initiatives across the Nordic region with employees in Sweden, Denmark & Norway. This role plays a key part in maintaining efficient HR operations, delivering an outstanding employee experience, and ensuring the effective administration of people processes throughout the employee lifecycle. Success in this position requires strong collaboration, attention to detail, sound judgment, and the ability to build trusted relationships across the business.
Essential Duties & Responsibilities
Employee Lifecycle & HR Administration
- Act as Workday HR Administrator and maintain employee data integrity across all relevant systems.
- Maintain and update employee records, employment contracts, certificates, employee handbooks, presentations, and HR documentation.
- Manage and coordinate employee lifecycle processes including hires, onboarding, transfers, promotions, organizational changes, and offboarding activities.
- Coordinate onboarding and offboarding activities for both Corporate and Retail populations.
- Ensure all HR records, policies, procedures, and documentation are accurate and up to date.
- Support employee changes and organizational design updates.Support compliance with labor law requirements, internal controls, and HR governance processes.
Recruitment & Talent
- Support end-to-end recruitment activities for both internal and external hiring.
- Partner with hiring managers throughout the recruitment lifecycle, including candidate screening, interview coordination, candidate communication, offer preparation, and onboarding.
- Prepare employment contracts and recruitment-related documentation through systems such as Scout and Workday.
- Support talent review processes and succession planning activities across the region.
- Contribute to learning and development initiatives for Corporate and Retail employees.
Employee Relations & Support
- Serve as a primary point of contact for employees seeking guidance on HR policies, procedures, benefits, and people-related matters.
- Build strong relationships with employees and managers across the Nordic organization.
- Support employee relations matters, including employee grievances and workplace concerns.
- Coordinate rehabilitation plans and return-to-work processes in partnership with employees, managers, Försäkringskassan, and other relevant stakeholders.
- Ensure adherence to company policies and provide timely and accurate HR guidance.
Projects & Programs
- Support and coordinate regional, European and global HR initiatives and projects.
- Prepare HR presentations, reports, communications, and training materials.
- Drive continuous improvement initiatives to enhance HR processes and employee experience.
- Support ad hoc People Team projects as required.

Experience, Skills, and Knowledge
- Bachelor's degree in Human Resources, Business Administration, or a related field.
- 1-3 years of relevant HR or People & Development experience.
- Basic knowledge of Swedish employment law; knowledge of Danish & Norwegian employment law is an advantage.
- Experience working with HRIS platforms, preferably Workday
- Advanced proficiency in Microsoft Office applications, including Excel, PowerPoint, Word, Outlook, SharePoint, Copilot.
- Strong interpersonal and communication skills with the ability to build effective working relationships at all levels.
- Excellent organizational skills with exceptional attention to detail.
- Ability to manage multiple priorities and thrive in a fast-paced environment.
- Strong customer-service mindset with a proactive and solution-oriented approach.
- Curious, adaptable, and eager to learn.
- Fluent in Swedish and English, both written and spoken.
