In September 2024, Nordic Air Defence unveiled its first product, the Kreuger 100, a dual-use drone-interceptor platform engineered in Sweden by a diverse, international team. The role
This is a full-time, on-site role in Stockholm. We are looking for a proactive and highly organized Creative Coordinator to work closely with our Creative Director in an operational capacity and help build the Creative Department.
This is an operational role within the Creative Department, not a creative development role. You will act as the operational backbone of the team, helping coordinate projects and logistics, conduct research, manage follow-ups, and ensure the department stays organized and ahead of upcoming needs.
You will be given clear objectives and trusted to figure out how to make things happen. This role is ideal for someone who enjoys taking ownership, solving problems, and maintaining a clear operational overview and structure in a fast-moving environment.
Responsibilities
Coordinate day-to-day operations within the Creative team and maintain a clear overview of what is happening across the organization, including who owns what, what is being worked on, what is coming up, and where Creative needs to be involved.
Track projects, priorities, deadlines, dependencies, and follow-ups, ensuring that nothing falls between the cracks.
Attend operational or informational meetings on behalf of Creative when appropriate, and report back with the key information, decisions, dependencies, and action items.
Conduct research related to productions, locations, travel, permits, suppliers, and logistics, turning information into clear recommendations and solutions.
Coordinate meetings, action items, and follow-ups across internal and external stakeholders.
Support budgeting, cost tracking, supplier management, and production planning.
Help maintain processes, systems, documentation, and ways of working as the Creative Department grows, including media, archive, and backup workflows according to our procedures.
Support production planning and execution, including crew outreach, travel, accommodation, permits, schedules, call sheets, suppliers, equipment logistics, and hands-on production support on set when required.
Help protect and enforce Creative processes internally, ensuring materials that require Creative review or approval follow the agreed workflow.
Requirements
1–3 years of experience in operations, coordination, administration, project support, or a similar role.
Professional fluency in English.
Driver's license required.
Comfortable managing budgets, spreadsheets, and cost tracking.
Highly organized and detail-oriented, with a strong ability to follow through and close open tasks.
Proactive, resourceful, and comfortable taking ownership and working independently.
Strong research and problem-solving skills, with the ability to turn information into clear conclusions and recommendations.
Confident communicating with different stakeholders and comfortable proactively reaching out to people.
Reliable and willing to help with both high-level coordination and practical tasks.
Willingness to travel and support productions on location when required, including helping with equipment, transport and other practical tasks.
Nice to have
Experience from a startup, operations, logistics, project coordination, hospitality, events, or another fast-paced environment.
Experience supporting multiple projects and stakeholders simultaneously.
Form of employment: full time with initial 6 month probation period
