About the role
We are looking for a proactive, organised and service-minded Receptionist to join our Head Office in Hyllie. As the first point of contact for visitors, colleagues, suppliers and other stakeholders, you will play an important role in creating a welcoming and professional experience for everyone who enters our office.
This is a varied role combining reception, office administration, event support and day-to-day coordination. You will help ensure the office runs smoothly, support colleagues across different functions and act as a key contact for external suppliers and service providers.
You will also contribute to creating a positive office atmosphere, supporting events and onboarding new employees. This is an opportunity for someone with a genuine service mindset who enjoys being hands-on, organised and able to manage several priorities at once.
Working hours
This role is a 1-year temporary contract initially. The working hours are flexible either from 8:30am-3:30pm or 9am-4pm.
Responsibilities
- Welcome and assist visitors, colleagues, suppliers and other stakeholders, providing a professional and friendly first impression of AAK.
- Manage reception activities, including emails, phone calls, visitor coordination and communication with the ground-floor reception.
- Help create a welcoming and well-functioning office environment, taking ownership of practical and ad hoc office matters.
- Support the planning and coordination of office events such as town halls, breakfast meetings and other employee activities.
- Coordinate meeting rooms, catering, visitor tags and other practical arrangements for colleagues and visiting teams.
- Manage reception correspondence, incoming and outgoing mail and courier services.
- Act as a key contact for external suppliers, coordinating services such as cleaning, fruit deliveries, and office supplies.
- Support office access management, visitor tags and onboarding activities for new employees.
- Contribute to office projects and collaborate with other tenants through the local tenant network on activities, events and compliance matters.
About you
- Previous experience in reception, office administration, customer service or a similar service-focused role is preferred but we welcome candidates with no prior experience.
- Fluent in English and be able to communicate in Swedish (speaking and writing).
- You are highly organised and able to manage multiple tasks and priorities while maintaining a high level of service.
- A proactive, hands-on and “can-do” mentality, with a willingness to take ownership and help wherever needed.
- Strong administrative skills and attention to detail, with confidence handling practical and organisational tasks independently.
- Friendly, approachable and professional, with a genuine passion for creating a positive experience for visitors and colleagues.
- Comfortable working with different teams and stakeholders, with a collaborative approach and the ability to build strong relationships.
- Flexible and adaptable, with the ability to respond quickly to changing priorities and ad hoc requests.
