ABOUT THE ROLE
As a Billing & Administration Assistant at Membrain, you'll play a key part in ensuring smooth financial operations by managing invoicing, commissions, and some bookkeeping, while fostering strong relationships with customers, partners, and suppliers. You'll collaborate closely with the Customer Success team to resolve payment issues and support the onboarding of new clients, ensuring a seamless experience. Additionally, you'll take on varied administrative tasks, from managing office operations to contributing to internal projects. Being in the process of a SOC2 audit, we will perform a background check on candidates to whom we make an offer.
Responsibilities
- Ensure all invoices are accurate and sent in a timely to our customers
- Issue partner commissions according to Membrain’s process
- Proactively and professionally communicate with customers and partners related to billing and/or their commission
- Collaborate with Customer Success Advocates to resolve payment delinquency issues
- Support Customer Success Advocates with administrative tasks when onboarding new customers
- Manage the creation, updating and archiving of Membrain instances
- Calculate and issue employees’ commission according to Membrain’s process
- Bookkeeping of some company expenses
- Coordinate purchases and relationship with suppliers
- Office administration
- Support or lead internal admin tasks or projects as assigned

ABOUT YOU
You are
- Professional with a strong work ethic
- Highly attentive to details
- Great with numbers and enjoy it

- A team player with the ability to work with minimal supervision
- Based at commuting distance from Stockholm and have the legal right to work in Sweden
You have
- One to two years of experience in an administrative role
- Excellent communication skills, verbal and written, in Swedish and English
- High empathy and a customer service attitude
- A desire to work at least 2 to 3 days per week from our office in Hammarby Sjöstad
WHAT IT WILL LOOK LIKE
During the first 30 days, you will:
- Learn the foundation of why Membrain exists and how we serve our customers
- Have a good grasp of how Membrain works as a product
- Become familiar with the tools and platforms we use
- Know the Membrain core values and culture, and integrate these into your everyday interactions with your teammates
- Ride alongside a colleague for your first billing cycle
After 90 days, you will:
- Explain to others what Membrain does and how it works
- Have had contact with all team members
- Have completed your first billing cycle on your own (with colleagues right by your side if you need help)
After a year, you will:
- Contribute to improving Membrain’s billing process
- Become a role model for new hires and help the team grow
- Continually be learning about all things needed to stay on top of your game
