Job Description:
Facility Coordinator – Full-Time, Solna
We are currently looking for a Facility Coordinator to join our team in Solna.
We are seeking a professional, reliable and highly organized individual to support the day-to-day operations of our workplace in Solna. In this role, you will play a key part in ensuring efficient workplace services and helping to create a safe, functional and welcoming environment for employees and visitors.
The role works closely with the Facility Manager and requires a proactive, hands-on individual who enjoys taking ownership of workplace services and daily office operations.
This is a full-time, office-based position reporting to the Facility Manager and requires a full-time on-site presence.
Key Responsibilities:
- Manage front office services, including welcoming service providers, operating the switchboard, postal services, meeting rooms, key cards and loan keys.
- Proactively ensure workplace services are maintained and operating effectively, including office supplies, printers, cleaning, waste management, coffee machines, fruit deliveries, security, plants, carpets and other office-related services.
- Coordinate company vehicle administration, including inspections, servicing, repairs, and related documentation.
- Register, coordinate and follow up on repairs, maintenance requests and facility-related service activities.
- Support the coordination of vendors, contractors and landlord-related activities regarding repairs, maintenance and workplace services.
- Provide administrative and operational support to the Facility Manager, including data collection, reporting and documentation.
- Assist in ensuring compliance with company policies, workplace regulations and safety procedures.
- Identify opportunities for continuous improvement and support workplace projects and service enhancement initiatives.
Essential Requirements:
- Minimum 3 years of experience in office administration, workplace services, facility coordination, reception, or a similar role.
- Experience coordinating service providers, contractors and/or workplace-related services.
- Strong organizational, administrative and communication skills.
- Proven ability to manage multiple tasks simultaneously while maintaining attention to detail and proactively adjusting priorities when required.
- Proficiency in Microsoft Office applications, including Outlook, Excel, Word and PowerPoint.
- Excellent written and verbal communication skills in both Swedish and English.
- Valid driver’s licence.

Desirable Qualifications:
- Knowledge of workplace health & safety and security practices.
- Experience supporting office moves, refurbishments, or workplace improvement initiatives.
- Experience in project administration, planning, coordination or similar support functions.
